1.0 Introduction

K-12 Studio (k12studio.ca) is a free, government-supported platform that helps Ontario K–12 French as a Second Language (FSL) educators find, share, and create classroom resources. K-12 Studio is funded by the Ontario Ministry of Education and Heritage Canada.

We are committed to protecting the privacy of our users. This policy explains what personal information we collect, how we use it, and the choices you have. Please read it carefully before registering or using the platform.

2.0 Scope of This Policy

This policy applies to all personal information collected through k12studio.ca, including information provided during account registration, resource uploads, and platform use. It does not apply to third-party websites, services, or organizations that K-12 Studio may link to; those parties operate under their own privacy policies.

You may browse portions of k12studio.ca without creating an account. However, contributing resources, using the authoring tool, and accessing certain features requires registration.

3.0 Information We Collect

3.1 Account Information

When you register, we collect:

  • First and last name (required)
  • Email address (required)
  • Password (stored as a one-way hash — we cannot read it)
  • Professional role, e.g. teacher, consultant
  • Grades you teach (optional)
  • School or board affiliation (optional)
  • Your biography or 'about me' details (optional)

Optional fields are genuinely optional. Leaving them blank does not restrict your access to the platform.

3.2 Content You Contribute

When you upload or create resources on K-12 Studio, we collect the content itself and any metadata you attach, including grade level, program type, curriculum tags, and resource description. Contributed content is publicly accessible on the platform.

3.3 Usage Data

We use Google Analytics to collect anonymized usage data including pages visited, time on site, referring URLs, device and browser type, and approximate geographic region. This data is associated with your browser session, not your account. Google Analytics data is processed on Google's servers and is subject to Google's privacy policy (policies.google.com/privacy). You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.

3.4 Automatically Collected Technical Data

Our servers automatically record standard web server logs, including IP address, browser type, operating system, and pages requested. This data is used for system security, performance monitoring, and troubleshooting. It is not used to identify individual users and is deleted on a rolling basis.

4.0 How We Use Your Information

We use the information we collect to:

  • Provide and operate the K-12 Studio platform
  • Display your public contributor profile when you share resources (see Section 5)
  • Send transactional emails related to your account (e.g. password reset)
  • Send the monthly K-12 Studio digest and platform updates, with your consent (see Section 8)
  • Understand how the platform is used in order to improve it
  • Report aggregate, anonymized usage statistics to our funders (see Section 7)
  • Comply with legal obligations

We do not use your information for advertising, profiling, or any commercial purpose.

5.0 Public Profile Information

K-12 Studio is a community platform. When you contribute a resource, your contributor profile is visible to all visitors — including visitors who are not registered. The following information may be publicly displayed:

  • First and last name (always shown if you contribute a resource)
  • Professional role, if you chose to provide it
  • School or board affiliation, if you chose to provide it
  • Resources you have uploaded and their associated metadata

Your email address is never displayed publicly. Profile information you choose not to provide will not appear on your public profile.

If you wish to contribute resources without your full name being displayed, contact us at info@k12studio.ca before submitting content. We will work with you to find an appropriate arrangement.

6.0 Third-Party Services

K-12 Studio integrates the following third-party services. Each operates under its own privacy policy.

Google Analytics

Used for anonymized usage analytics. Data is processed by Google LLC on servers that may be located outside Canada. Google's privacy policy is available at policies.google.com/privacy.

H5P

K-12 Studio uses H5P (h5p.org) to power its interactive content authoring tool. H5P software runs on K-12 Studio's own servers; however, the H5P editor may load resources from H5P.org's content delivery network. H5P's privacy policy is available at h5p.org/privacy.

We do not sell data to, or purchase data from, any third party.

7.0 Sharing of Information

7.1 Funders

K-12 Studio reports aggregate, anonymized platform statistics to its funders — the Ontario Ministry of Education and Heritage Canada. These reports include metrics such as total registered users, number of resources on the platform, resource download volume, and month-over-month growth trends. No personally identifiable information beyond what is already publicly visible on contributor profiles is shared with funders.

7.2 Service Providers and Contractors

We may share personal information with contractors, consultants, and service providers who assist with the operation of K-12 Studio (for example, hosting providers). These parties are required to protect personal information and use it only for the purposes for which it was shared. Upon completing their engagement, they must return or destroy the information.

7.3 Legal Requirements

We may disclose personal information if required by law, court order, or lawful authority. We will notify affected users where we are legally permitted to do so.

7.4 What We Do Not Do

We do not sell, rent, or trade personal information. We do not share personal information with advertisers. We do not use personal information for any commercial purpose.

8.0 Email Communications

K-12 Studio sends two categories of email:

Transactional emails

Emails required to deliver the service you requested — such as account confirmation, password reset, and security notices. These are sent on the basis of your account registration and do not require separate consent.

Promotional and newsletter emails

The monthly K-12 Studio digest and other platform updates are sent only to users who have provided express or implied consent in accordance with Canada's Anti-Spam Legislation (CASL). Implied consent arises from your active account registration and engagement with the platform. You may withdraw consent at any time by clicking "Unsubscribe" in any email or by contacting info@k12studio.ca.

Withdrawal of consent to promotional emails does not affect transactional communications.

9.0 Cookies

K-12 Studio uses cookies to maintain your session when you are logged in and to remember your preferences. These cookies do not contain personally identifiable information beyond a session identifier.

We also use cookies set by Google Analytics to collect anonymized usage data (see Section 6). You can disable cookies in your browser settings, but doing so may affect your ability to use certain platform features, including staying logged in.

10.0 Security

We apply industry-standard security measures to protect personal information from unauthorized access, loss, or disclosure, including encrypted data transmission (HTTPS), hashed password storage, and access controls for administrative systems.

No internet-connected system can guarantee complete security. If you believe your account has been compromised, contact us immediately at support@k12studio.ca.

11.0 User Rights and Data Retention

Registered users may log in at any time to view and update their account information and public profile. You also have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your account and associated personal information

To exercise any of these rights, contact info@k12studio.ca. We will verify your identity before acting on any request. We aim to respond within 30 days.

We retain personal information for as long as your account is active or as required to provide the service. If you request deletion of your account, we will remove your personal information within 30 days, except where retention is required by law. Resources you contributed may be retained in anonymized form.

12.0 Children and Student Privacy

K-12 Studio accounts are intended for adult educators — teachers, consultants, and education professionals. We do not knowingly collect personal information from individuals under the age of 18, and we do not offer student accounts.

Teachers may embed K-12 Studio resources, including H5P interactive activities, in their classroom settings. In these cases, students interact with embedded content but do not create accounts on K-12 Studio and do not provide personal information to this platform.

If you believe that a minor has registered an account on K-12 Studio, please contact us at info@k12studio.ca and we will promptly delete the account and associated information.

13.0 Compliance with Canadian Privacy Law

K-12 Studio complies with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). We are committed to collecting only the information we need, using it only for the purposes we have described, and protecting it appropriately.

If you have a privacy concern that we have not addressed to your satisfaction, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

14.0 Changes to This Policy

We may update this privacy policy from time to time. When we do, we will post the revised policy at k12studio.ca/privacy and update the "Last Updated" date at the top of this document. For significant changes, we will also post a notice on the platform homepage. Updated policies are effective immediately upon posting. The effective date at the top of this document will always reflect the most recent version.

Continued use of the platform after a policy update constitutes acceptance of the revised policy.
